PharmaBatch connects approved pharmaceutical organisations and keeps the transaction workflow organised. Under this operating model, River Pharma GmbH, Germany, reviews proposed transactions as the wholesale execution partner and—where named in the accepted transaction documents—acts as the wholesale contracting and invoicing party.

Wholesale execution

River Pharma GmbH — wholesale partner

For a proposed transaction that River Pharma GmbH accepts, it becomes the wholesale contracting party and issues the buyer’s commercial medicine invoice.

  • Reviews the proposed product, parties and transaction information
  • Confirms whether the proposed wholesale transaction is accepted
  • Issues the commercial medicine invoice to the buyer for an accepted transaction
  • Provides the seller with the applicable purchase and fulfilment instructions
  • Handles seller settlement under the accepted commercial terms

Any transaction-specific documentation, handling, transport and regulatory conditions are stated in the accepted order documents.

Seller eligibility

Who can sell on PharmaBatch?

Seller access is deliberately narrower than buyer access. Only eligible legal entities established in the EU-27 may apply, and approval remains subject to organisation, authorisation and official-record review.

EU-27 legal entities only.

Eligibility follows the seller legal entity’s registered country—not the medicine’s origin. Approval is never automatic.

National WDA oversight · EMA-operated EudraGMDP verification

Wholesale distributors are authorised and inspected by the relevant national competent authority against EU GDP requirements. EudraGMDP, the official database operated by EMA, is a critical verification layer for WDA, GDP certificate and non-compliance records. EMA operates the database and coordinates EU-level GDP activity; it does not itself issue every national WDA.

Transaction process

What happens from access to execution.

Each stage has a clear owner. A marketplace match becomes a wholesale transaction only after River Pharma GmbH accepts it.

    Apply and receive access

    Buyer applicants request buying-only access. Only eligible EU-27 legal entities may request verified seller access, which includes buying and selling. Marketplace tools open only after application review.

  2. 02

    Post a requirement or lot

    A buyer creates an RFQ or an approved supplier presents available stock against the correct private medicine record.

  3. 03

    Compare the commercial match

    Each participant reviews the exact pack, quantity, price applicable to its side, origin, expiry, destination and other stated conditions. Supplier net prices and buyer final product prices are kept separate and confidential.

  4. 04

    Send the proposal for wholesale review

    The selected proposal is passed to River Pharma GmbH for its own transaction and documentation review.

  5. 05

    Confirm and invoice

    If River Pharma GmbH accepts the transaction, it confirms the applicable terms and issues the commercial medicine invoice to the buyer.

  6. 06

    Execute and record the outcome

    The seller follows the accepted purchase and fulfilment instructions. Settlement and the marketplace status record follow the agreed transaction terms.

Who invoices whom?

For an accepted wholesale transaction, the commercial medicine invoice does not come from PharmaBatch.

The supplier receives the applicable purchasing instructions and settlement from River Pharma GmbH based on the supplier net price and the accepted transaction terms.

PharmaBatch

PharmaBatch supplies the marketplace technology and transaction workflow. The buyer-facing final product price includes the 6.5% marketplace fee. Any transaction-specific logistics or other separately chargeable service is manually itemised in the applicable commercial documents and invoice.

What a marketplace match does—and does not—mean.

Acceptance is transaction-specific

A listing, RFQ, platform match, displayed price or administrator action is not by itself a completed wholesale transaction or guarantee of supply. Every proposed transaction remains subject to counterparty checks, product and document review, availability and final acceptance by River Pharma GmbH.

Responsibilities remain with the parties

Each participating organisation remains responsible for the licences, authorisations, product information, import or export requirements and transaction documents applicable to its role. Independent professional advice may be required.

Medicine reference and offer are separate

An internal directory entry is only a medicine reference. It is not a stock guarantee, price, sale offer or authorisation to trade. Commercial information comes from the participating seller and is subject to final review.
