Marketplace update · seller access

UK and EU pharmaceutical sellers can now apply to PharmaBatch

UK and EU pharmaceutical wholesalers can apply to PharmaBatch. Learn the seller registration steps, licence checks and private batch and RFQ workflow.

01

What has changed—and what has not

The seller location policy now covers the EU-27 and the United Kingdom. UK organisations can now apply directly using their own legal-entity details. Select United Kingdom and provide the details of the legal entity that will participate.

This is an expansion of who may apply, not automatic approval. The distinction between buyer-only and verified seller access stays in place. Existing EU sellers do not need a second account, and a previously pending or rejected UK application does not silently become approved. Contact the team to review an existing application instead of creating duplicates.

02

Who is within the new seller scope?

Eligible legal entities established in any of the 27 EU member states or in the United Kingdom may request seller access. The UK includes England, Scotland, Wales and Northern Ireland; use United Kingdom as the registered-country selection and give the actual registered address.

The seller country is the location of the participating legal entity, not the origin of a medicine, the destination of a shipment, a sales territory or the location of a parent company. Jersey, Guernsey and the Isle of Man are not included by the UK selection. Other countries do not gain seller eligibility through this update. Buyer applications follow a separate review process.

03

Prepare a clear application before you submit

  • Use a business email you can access and identify the person responsible for the application.
  • Enter the legal entity name and registered country consistently with the supporting records.
  • Provide the relevant wholesale authorisation or licence reference and complete the requested organisation details.
  • Upload current, legible supporting documents. If a recorded authorisation has a validity date, supply accurate information rather than inventing a date.
  • Make the authorised sites, activities and product scope clear enough for an administrator to compare with official records.
  • Explain discrepancies such as a trading name that differs from the authorisation holder; a company name match alone is not the review.

Important: Do not upload patient-identifiable information. The application concerns a professional organisation and its marketplace access, not a patient prescription.

04

UK and EU verification use the appropriate official records

For UK applicants, the review considers the relevant MHRA wholesale authorisation, including WDA(H) where applicable, its holder, sites, scope and status. MHRA-GMDP provides wholesale authorisation and GDP certificate records. GOV.UK also publishes a register of licensed human-medicine wholesale distribution sites. See the MHRA sources below.

For EU applicants, the relevant national competent authority and EudraGMDP remain important verification sources. EMA operates EudraGMDP; it does not issue every national wholesale authorisation. EU rules are not relabelled as UK membership rules because the marketplace accepts both regions.

For either route, an official record is evidence to review, not a blanket guarantee about a particular batch, seller performance or future transaction. PharmaBatch can request clarification when a document, organisation detail or permission cannot be reconciled.

From registration to a usable seller account

  1. 01

    Choose verified seller access

Start with the seller application link and choose the correct legal-entity country. Seller access includes buying as well as selling.

  2. 02

Complete your account and organisation details

Follow the email and onboarding steps shown, then submit the requested authorisation information and supporting evidence.

  3. 03

    Receive an administrator review

The team checks the application and may request missing information. Seller tools remain closed while the application is pending.

  4. 04

Work with exact medicine records after approval

Present an available batch or respond to an RFQ with the actual pack, quantity, origin, expiry, storage and commercial details.

  5. 05

    Review each proposed transaction

A listing or buyer selection still follows the platform decision path and separate wholesale review before an accepted order exists.

06

A private workflow for batches and RFQs

An approved seller can submit available batches against exact medicine references instead of publishing a public spreadsheet of stock and prices. The same organisation can assess open buyer RFQs and respond with the relevant quantity and terms. Buyer tools are also available to verified sellers when they need to source a product.

Keep separate lots, expiry dates and presentations distinct. State what is actually available and explain any documentation or storage limitation. Counterparty details and commercial information remain within the controlled workflow; the update does not make the private catalogue or member records public.

The published transaction model and fee policy have not changed. River Pharma GmbH separately reviews a proposed wholesale transaction before deciding whether to accept it under the applicable documents. Access to PharmaBatch is not a promise of orders or a guarantee of supply.

07

UK access does not remove cross-border requirements

A UK seller account is not an import licence, export licence or marketing authorisation. The actual medicine, authorised activities, destination, route and counterparties still matter. The MHRA import guidance distinguishes activities and routes, including circumstances involving Great Britain and Northern Ireland; one registration-country field cannot decide all of those requirements.

Before progressing a transaction, the responsible teams must establish which authorisations, product permissions, quality records, transport controls and other route-specific requirements apply. Use the current official guidance and obtain qualified advice where needed. This article explains marketplace registration, not legal clearance for a particular shipment.

Frequently asked questions

Can a UK pharmaceutical wholesaler register as a seller?

Yes. Eligible licensed legal entities established in the United Kingdom can apply alongside EU-27 organisations. Approval still requires the normal organisation, authorisation and evidence review.

Should a Northern Ireland company select United Kingdom?

Yes. Give United Kingdom as the registered country and the accurate registered address. The marketplace country selection does not determine the regulatory requirements of a particular Northern Ireland supply route.

Does the change automatically approve an existing UK application?

No. Existing pending or rejected applications are not automatically approved. Ask PharmaBatch to review the existing record rather than registering duplicate accounts.

Can an approved seller also buy medicines on PharmaBatch?

Yes. Verified seller access includes the buyer workflow. Buyer-only accounts still cannot list stock or respond as sellers.

Does seller approval authorise exports between the UK and EU?

No. Marketplace access and shipment permissions are separate. Each proposed transaction requires the applicable product, counterparty, route and document checks.
